Packaging Supplier in India: MOQ, Lead Times, and Factory-Direct Buying

US and UK buyers exploring India as a packaging source have the same set of practical questions: what is the minimum I need to order, how long does it take, what do I pay upfront, and how do I find a factory directly rather than going through a broker? This guide answers all of them in plain terms.


Minimum Order Quantities (MOQ) for Packaging from India

MOQ varies by product type and factory. The figures below are typical for established manufacturers exporting to the US and UK:

Why MOQs exist: Indian manufacturers run production on batch equipment. The minimum order represents the smallest batch that covers the setup cost - die configuration, ink mixing, board run - while producing usable economics for both sides. Smaller quantities can sometimes be accommodated by paying a setup surcharge, but this rarely produces cost-effective per-unit pricing at less than 1,000 units.

Payment Terms with Indian Packaging Suppliers

Standard payment terms for factory-direct orders from Indian manufacturers:

30% deposit, 70% balance before shipment is the most common starting arrangement for a first order. The deposit is paid by wire transfer (SWIFT/IBAN) after purchase order confirmation. The balance is paid after the factory provides pre-shipment inspection results or photographs and before the bill of lading is released.

Letter of Credit (LC at sight): Some buyers use a confirmed LC for first orders. This protects both parties - the buyer does not pay until shipping documents are presented and the seller is guaranteed payment on compliant documents. LC documentation must be established through your bank before production begins. LCs add 7 to 14 days to the order timeline and banking fees typically run 0.5 to 1% of the order value.

30/70 with telegraphic transfer (TT): After a successful first order, many buyers move to TT (bank wire transfer) terms: 30% on order placement, 70% on bill of lading copy. Some established relationships move to net 30 or 60 day terms, but this requires demonstrable order history.

Currency: Invoicing is typically in USD, GBP, or EUR. Indian manufacturers will quote in any of these. The exchange rate risk falls on the manufacturer when they quote in your currency - most Indian factories account for this in their pricing.

Factory-Direct vs Broker: What Is the Difference?

A factory-direct supplier is a manufacturing company that makes the product in its own facility and sells directly to buyers. There is no trading company, import agent, or intermediary in the supply chain.

A trading company or broker buys from multiple factories and resells to international buyers. They handle coordination and language, but add a margin (typically 10 to 20%) and create a gap between the buyer and the actual production facility.

Why factory-direct matters:

  • You communicate directly with the people who make your product. Specification changes, quality issues, and production queries are handled without a telephone game.
  • You pay the manufacturer's price, not the manufacturer's price plus a broker margin.
  • You receive the factory's quality documentation directly - test certificates, production records - not a summary from a trading company.
  • You can visit the factory (or send an inspection agent) and verify conditions firsthand.

How to identify factory-direct suppliers:

  • They have their own manufacturing facility (ask for the factory address and cross-reference it on Google Maps or Google Earth)
  • They can describe their production process in specific technical terms (if someone cannot explain what flute type they run or what their GSM range is, they do not make it)
  • Their lead times reflect actual production schedules, not sourcing from a third party
  • They provide test certificates from their own quality control lab, not from a third-party lab that tested a different batch

What to Look For in a Reliable Indian Packaging Supplier

Beyond MOQ and lead time, evaluate potential Indian suppliers on:

Export experience: Ask specifically "Have you exported to [US/UK] before?" and request a reference from a current US or UK buyer. A genuine exporter can provide this. One who cannot is likely to have friction with international documentation requirements.

Sample quality and turnaround: Request a sample in your exact specification. A capable manufacturer sends a quality sample within 10 to 15 working days, with test certificates. Slow sample response or missing certificates are reliable predictors of production performance.

Technical specificity: A good manufacturer asks detailed questions about your application - product weight, transit conditions, storage environment, stacking height. A factory that takes a dimension and quotes immediately without questions is likely defaulting to a generic specification.

Communication responsiveness: For a first order, you will have more back-and-forth than on repeat orders. Test the communication channel early. An 18 to 24 hour response to technical questions is reasonable. Longer than that on basic specification queries is a flag.

Production capacity: A factory with a clear capacity figure (e.g., "we produce 200,000 RSC boxes per month") is describing a real operation. Vague answers about capacity can indicate limited production infrastructure.
